Supplier & Contract Negotiation

Reduce IT costs. Strengthen your contracts. Regain control of your suppliers.

Most IT contracts are renewed without enough scrutiny — leaving businesses paying for unnecessary licences, inflated support charges or services they no longer need. The Roadmap Office changes that.

€3M+in technology cost savings — one client

Delivered through technology strategy, supplier management and commercial negotiation for a pan-European organisation.

The insider advantage

Stephen spent more than 20 years building and running a managed IT services company. He understands exactly how IT suppliers price, package and negotiate contracts — because he worked on that side of the table for two decades.

He now uses that knowledge exclusively on behalf of SME clients — reducing costs, improving contract terms and ensuring suppliers deliver genuine value. His work has contributed to more than €3 million in technology cost savings for a single pan-European organisation.

Whether you are approaching a renewal, running a tender or simply wondering whether you are paying too much, an independent review will give you a clear picture — and a stronger negotiating position.

Who is this for?

  • Businesses approaching an IT contract renewal or supplier review
  • Organisations considering a change of IT supplier or managed service provider
  • Companies that want an independent view before signing a significant IT contract
  • Businesses that suspect they are paying too much for their IT services
  • Organisations running a tender or procurement process for IT services

How we work together

Ways to work together

01

One-off contract review

An independent assessment before you sign or renew an IT contract. Identifies unfavourable terms, hidden costs and areas where you can negotiate better value — without committing to ongoing support.

02

Contract renewal or negotiation project

Complete commercial negotiation support through a renewal or renegotiation. From preparing your position to managing the negotiation and agreeing final terms.

03

Supplier tender

End-to-end support through a competitive tender process — defining your requirements, managing the tender, evaluating supplier responses and negotiating the final agreement.

04

Ongoing commercial oversight

Regular independent reviews of your suppliers, costs, performance and contracts — ensuring your IT spend continues to deliver value and your suppliers remain accountable.

Outcomes

What clients gain

Reduced technology costs

Identifying and eliminating unnecessary licences, inflated support charges and services that are not delivering value — recovering money that should be working harder for your business.

Stronger contract terms

Negotiating better exit rights, performance obligations, price protections and service levels — so your contracts work in your interests, not your supplier's.

Lower commercial risk

Identifying unfavourable terms, auto-renewal traps and hidden obligations before you sign — protecting your business from commitments you did not fully understand.

Supplier accountability

Establishing clear performance standards and holding suppliers to them — ensuring you receive the service you are paying for.

Confident procurement decisions

Independent evaluation of supplier proposals and tender responses — so your procurement decisions are based on evidence, not sales presentations.

Microsoft licensing clarity

Independent review of Microsoft 365 and Azure licensing — ensuring you are paying for what you actually need, not what your supplier wants to sell you.

Transparency

How engagements are priced

Engagements can be structured as a one-off fixed-fee project, ongoing monthly support or, where appropriate, a combination of a fixed fee and a performance-related element. Every engagement is scoped and agreed in advance, with no hidden charges, supplier commissions or commercial relationships influencing our advice.

Fixed fee

A defined scope, agreed in advance. Suitable for one-off reviews, contract assessments and negotiation projects.

Fixed fee plus performance element

A base fee combined with a performance-related element based on agreed and independently verified savings.

Monthly retainer

Ongoing commercial oversight on a fixed monthly basis — regular reviews, supplier management and commercial advice as needed.

Percentage of portfolio

For suitable engagements, an agreed percentage of the contract portfolio being managed, with an agreed minimum and maximum.

Pricing is always discussed after understanding the size, complexity and potential value of each engagement. There are no standard rate cards — every engagement is different.
